Colloquium Logistics

The colloquium takes place after 3 weeks (at least) from the Green Light meeting (your diploma is being prepared). When scheduling the event, please make sure that you:

  • Chose a date & time in convenient for 1st, 2nd, and company supervisors.
  • Choose a room in the Ravelijn building (if possible).

Don’t forget to fill out your colloquium request form.

Agenda of Colloquium Day

The colloquium agenda is as follows:

  • Student Presentation: MSc ≈30 min, BSc ≈20 min
  • Audience Questions: ≈10 min
  • Supervisor Questions: ≈20 min
    1. Company supervisor
    2. Second supervisor
    3. First supervisor
  • Grade Discussion (supervisors only, out of the room): ≈20 min
  • Grade Announcement and Feedback (in the room): ≈5 min
  • Diploma Signing

What If My Company Supervisor Cannot Attend the Colloquium?

In this situation, you have a few options to consider:

  • Hybrid Participation: Your company supervisor can participate in the colloquium remotely. You can arrange a call with him for the presentation and Q&A sessions and I can call him privately for the grading discussion.
  • Feedback Form: Ask you company supervisor to send me a feedback form with his assessment of your internship and the impact of your assignment (you can find the form online). I will use this feedback as a reference for your evaluation. Additionally, I can ask him to include one or two questions that can be addressed during the colloquium and contact him prior to the event to discuss your performance.

Online Colloquium

Sometimes, due to scheduling conflicts, one of your supervisors may not be able to attend your colloquium in person. In this case, to make sure you graduate at your preferred date, this supervisor can attend the colloquium online.

No worries, one of the supervisors will still be present to hand you the diploma and host the ceremony.

In the following, you can find the steps to follow in case first or second supervisor cannot attend the colloquium in person.

Second Supervisor Will Attend Online

Here is an agenda for a smooth colloquium when the 2nd Supervisor cannot attend in person:

  1. Student starts the Teams meeting and ensures that the 2nd Supervisor’s voice comes through clearly through the speakers (test before the colloquium starts). Make sure the sound is loud enough (whiteboard speakers are usually fine).
  2. The 1st Supervisor welcomes the guests and opens the meeting.
  3. Student presents (sharing screen).
  4. 1st Supervisor handles the questions and invites 2nd Supervisor (voice only is fine) to ask questions after the audience and Company Supervisor have asked their questions.
  5. 1st Supervisor invites Company Supervisor into his office, and 2nd Supervisor leaves the colloquium Teams call momentarily.
  6. 2nd Supervisor calls 1st Supervisor for grading discussion.
  7. After grading is completed, the 1st Supervisor and the Company Supervisor return to the room. The 2nd Supervisor re-enters the MS Teams call.
  8. The 1st Supervisor gives feedback to the Student, announces the grade, and congratulates them.

First Supervisor Will Attend Online

Here is an agenda for a smooth colloquium when the 1st Supervisor cannot attend in person:

  1. Student starts the Teams meeting and ensures that the 1st Supervisor’s voice comes through clearly through the speakers (test before the colloquium starts). Make sure the sound is loud enough (whiteboard speakers are usually fine).
  2. The 2nd Supervisor welcomes the guests and opens the meeting.
  3. Student presents (sharing screen).
  4. The 2nd Supervisor handles the questions and invites 1st Supervisor (voice only is fine) to ask questions after the audience and Company Supervisor have asked their questions.
  5. The 2nd Supervisor invites Company Supervisor into his office and joins the Teams meeting together with 1st Supervisor.
  6. After grading is completed, the 2nd Supervisor and the Company Supervisor return to the room.
  7. The Student connects 1st Supervisor’s audio.
  8. The 1st Supervisor gives feedback to the Student, announces the grade, and congratulates them.

Tips for Creating the Presentation

Aim to create a presentation that is understandable by layman and IEM audiences. You could aim to divide the presentation into three parts:

  1. Introduction. Start with an overview of the company, the problem, and the assignment. This part should be understandable to a general audience.
  2. Solution Design. Present the core of your solution, tailored for an Industrial Engineering and Management (IEM) audience.
  3. Results and Conclusions. End with the results and conclusions, presented in a way that both IEM and non-IEM attendees can understand.
